Running Active Playbooks

Sessions tab inside a playbook

Every session in this playbook in one view — list or calendar, sequence or scheduled, with drag-to-reorder when sequence matters.

The Sessions tab inside a playbook is the playbook-scoped view of every session in the engagement — past, current, future, all in one place. Where the workspace Sessions calendar shows you every session in the workspace alongside your real calendar, this tab is just this playbook's sessions, with controls tuned for managing the engagement.

Two views

List view

A vertical list of sessions, grouped by phase if the playbook has more than one. Best for managing the order of work and getting at row-level actions.

Calendar view

A traditional calendar showing the playbook's sessions over time. Best for spotting time clusters, gaps, and "is this realistic?" pacing checks.

The view toggle sits in the top-right; your last choice persists.

Sequence vs scheduled sort

The list view supports two sorts:

Sort What it shows When to use
Sequence Sessions in the order the playbook intends them to happen — phase 1 sessions first, phase 2 second, and so on. The "story" of the engagement. Default for designing the engagement flow.
Scheduled Sessions in chronological order by date / time, regardless of phase. Useful for "what's actually happening this week?" checks.

The two often agree, but not always — a session in phase 2 can be scheduled earlier than one in phase 1 if the team has shuffled timing. Switching sort lets you see both views without re-arranging anything.

Reordering within sequence

Drag-to-reorder works only in sequence sort, and only for playbook owners. The reorder action moves a session within its phase — changing the intended flow of the engagement, not the calendar dates.

If you want to switch to scheduled sort and drag from there, you can't — that sort is read-only because chronological order is determined by the actual dates / times, not by manual ordering. To change scheduled order, edit the session times themselves.

For non-owners, sequence sort is read-only. The owner's reorder takes effect for everyone the next time they refresh.

Adding a session

The Add session button in the top bar opens the create flow with the playbook (and, if the playbook has multiple phases, a phase selector) pre-filled — so the new session lands in the right place in the engagement structure. See Creating a session for the full flow.

This is the cleanest way to add to the playbook from inside it; the standalone "New session" entry point in the sidebar creates a session that isn't tied to any playbook, which is rarely what you want when you're managing an engagement.

Walkthrough

  1. 1

    Open the Sessions tab

From inside any playbook, switch to the Sessions tab. The list view opens by default in sequence sort.

  2. 2

    Toggle to calendar

Use the view toggle to switch to calendar. You'll see the same sessions on a date grid. Switch back to list when you're done.

  3. 3

    Switch sort

Flip between sequence and scheduled. Compare what each tells you. Sequence is the engagement story; scheduled is the calendar reality.

  4. 4

    (Owner only) reorder a session

In sequence sort, drag a session to a new position within its phase. The change applies for everyone immediately. (Non-owners can watch but not reorder.)

  5. 5

    Add a new session

Click Add session. The create form opens with the playbook (and phase, if multi-phase) pre-filled — see Creating a session.

Tips & pitfalls

Use the workspace Sessions calendar for the cross-playbook view. This tab is playbook-scoped on purpose — you won't see external calendar events or sessions from other playbooks here. For "what's on this week?" across all engagements, switch to the workspace Sessions calendar.

Sequence is the design, scheduled is the reality. If the two diverge significantly — phase 3 sessions scheduled before phase 1 — that's worth noticing. Either the engagement structure is wrong or the scheduling is wrong. Either way, switching sorts surfaces it.

Add new sessions from inside the playbook. The Add session button on this tab pre-fills the playbook (and phase). Creating a standalone session and trying to retrofit it into the playbook isn't supported — sessions can't be moved into a playbook after creation.
