The sessions calendar
See every Gleo session — and every event from your real calendar — in one timeline view, with one-click 'Gleo this meeting' for external events.
The Sessions surface — accessible from the sidebar — is your master view of every session in the workspace. By default it opens in list mode (a chronological list, sortable and filterable). The often-more-useful view is calendar mode, which puts your Gleo sessions on a real timeline alongside the events from your actual calendar.
This page covers how to use the calendar view, the views and filters it offers, and the External Sessions band — the bridge between events you've already scheduled and the sessions Gleo can build from them.
List mode vs calendar mode
Both views show the same data — every session you have access to in this workspace.
List mode
A chronological table. Best for "what's coming up?" scanning, sorting by status / tag / playbook, and bulk operations.
Calendar mode
A traditional calendar grid. Best for spotting time conflicts, seeing your week shape, and turning calendar events into Gleo sessions.
The view toggle sits in the top-right of the Sessions page. Your last choice persists between visits.
Calendar views
Calendar mode supports four time horizons:

| Day | Hour-by-hour view of one day. Useful for a session-heavy day — back-to-backs, bridging windows, deciding what to delegate. |
| Week | The default. The right horizon for "what does this week look like?" planning. |
| Month | A bird's-eye view. Helpful for spotting recurring sessions and gaps in coverage. |
| Year | The least-used view, but useful for quarterly / annual planning rhythms. |
Switch between views from the calendar's top bar.
The All / Sessions / Calendar filter
A three-way filter scopes what's visible on the calendar:

| All | Both Gleo sessions and your calendar events from the connected Calendar integration. The default. |
| Sessions | Gleo sessions only. Useful when your calendar is noisy and you want to focus on what's actually been Gleo'd. |
| Calendar | Calendar events only. Useful for seeing what isn't yet a Gleo session — candidates to convert. |
The filter sits next to the view toggle. It's saved per visit but doesn't persist across sessions.
The External Sessions band
Below the divider on the calendar view, the External Sessions band shows raw events from your connected Calendar — meetings, syncs, internal events that exist as calendar entries but aren't Gleo sessions yet.
For each external event, you can:
- Open the event card to see who it's with, when, and any description from the calendar.
- Create session from event — pulls the event's title, time, and attendees into a new Gleo session, ready for prep. See Creating a session for the full flow.
- Ignore — the event stays in your calendar; it just doesn't become a Gleo session.
The pattern: the External Sessions band is the conveyor belt — meetings flow in from your calendar, and you decide which ones get the Gleo treatment.
When Calendar isn't connected
The External Sessions band requires the Calendar integration to be connected. Without it, you'll see a Calendar Connector card in place of the band, with a one-click action to connect. The rest of the calendar view still works — you just won't see external events alongside Gleo sessions.
If you've connected Calendar at the workspace level but the band still doesn't show events, it's usually one of two things: (1) you haven't completed the per-user permission grant, or (2) the calendar you've connected has no upcoming events in the selected view's window. Open the Sessions surface
Sidebar → Sessions. The list mode opens by default.

Switch to calendar mode
Use the view toggle to switch from list to calendar. The calendar opens to Week by default.

Try each view
Cycle through Day / Week / Month / Year to feel which suits the way you plan. Most facilitators settle on Week.

Try the filters
Switch from All to Sessions only — you'll see how much of your calendar is already Gleo'd. Switch to Calendar only — you'll see what isn't.

Convert an external event
Find a meeting in the External Sessions band that would benefit from prep. Click it → Create session from event. You land in the prep builder; the session inherits the event's title, time, and attendees.
Tips & pitfalls
Calendar mode pays off most when your calendar is full. If you have one or two sessions a week, list mode is fine. If you're running multiple sessions a day across several engagements, calendar mode is where you'll spot what's coming, what's stacked, and what's free.
Use Calendar-only filter as a "candidates to Gleo" view. The single most useful pattern: filter to Calendar at the start of each week and ask which of these meetings would be better with prep? Convert those; leave the rest.
The "Year" view is slow but useful for retros. If you're trying to spot a pattern in how sessions are clustered across a quarter or a year, the Year view is the only one that shows it. Use it sparingly but use it.
