The full index of every running, past, and discoverable playbook — sortable, filterable, with lifecycle actions one menu away.
The Active Playbooks page is your complete view of playbooks across the workspace. While the Home dashboard highlights what needs attention today, this page shows every active playbook, completed engagement, and available template.
This guide covers the different tabs, sorting and view options, and the actions available for each playbook.
Four tabs
The Playbooks page brings together everything related to playbooks in one place.
Active
All currently running playbooks. This is where you'll spend most of your time.
Past
Completed and cancelled playbooks. Useful for reviewing previous engagements or reusing proven approaches.
Marketplace
Public templates shared across the Gleo ecosystem. Browse, learn from, or use them as a starting point. See Publishing to the Marketplace.
Company
Templates created and shared within your organisation.
The Active and Past tabs contain playbooks. The Marketplace and Company tabs contain templates. Templates can be used to create new playbooks.
Sorting
On the Active and Past tabs, you can sort by:

| Title | You know the name of the playbook you're looking for. |
| Next session | You want to see what's coming up next. |
| End date | You want to see which engagements are nearing completion. |
| Status | You want to group playbooks by stage. |
Each tab remembers its own sort preference.
Grid and table views
Switch between two layouts on every tab:
Grid view
Visual cards with thumbnails, themes, and icons. Ideal for browsing and quick recognition.
Table view
A compact, sortable table showing key details such as status, owner, next session, and end date.
Most teams use Grid view for day-to-day browsing and switch to Table view when managing larger numbers of playbooks.
Playbook actions
Every playbook includes an actions menu (⋯) containing options based on its current status.
| Action | When it applies | What it does |
|---|---|---|
| Complete | Active playbooks | Marks the playbook as finished and moves it to Past. |
| Reopen | Completed playbooks | Returns the playbook to Active. |
| Cancel | Active playbooks | Marks the playbook as cancelled and moves it to Past. |
| Delete | Any playbook | Permanently removes the playbook. This action cannot be undone. |
These actions are also available from the Tools tab within a playbook. For full details, see the Lifecycle reference.
Complete and Cancel mean different things. Complete indicates the engagement reached its intended outcome. Cancel indicates the engagement ended early or was abandoned. Both move the playbook to Past, but they represent different outcomes for reporting and analysis.
Use Delete with care. Deleted playbooks are removed permanently. For completed or cancelled engagements, use Complete or Cancel so historical records remain available.

Open Playbooks
From the sidebar, select Playbooks. The Active tab opens by default.

Explore the tabs
Switch between Active, Past, Marketplace, and Company to understand the difference between live playbooks and reusable templates.

Try sorting
Sort Active playbooks by Next session to bring upcoming work to the top.

Switch views
Toggle between Grid and Table view to see which works best for your workflow.

Review available actions
Open a playbook menu and review the available actions. Be careful when using Complete, Cancel, or Delete, as each affects the playbook's status and history.
Tips
Sort Active playbooks by Next session. It's the quickest way to see what needs attention next.
Use Grid view for browsing and Table view for management. Grid works well when you have a smaller number of playbooks. Table view becomes more efficient as your portfolio grows.
Keep the Active tab current. If a playbook is no longer running, mark it Complete or Cancelled. A clean Active tab makes it easier to focus on live work.
