Building the Agenda template
Build the in-session agenda from activities (with steps), breaks, and labels — and keep it aligned with the session window.
The Agenda template builder defines what happens during a session.
Use it to build the flow of activities, breaks, and sections that participants and facilitators will follow when the session runs.
Open the builder from a session's Agenda tab in the Session property panel.
Agenda items
Activity
A piece of work with a title, duration, and optional steps.
Break
A timed pause within the session.
Label
A visual section heading used to organise the agenda.
Activities and steps
Activities can contain steps.
Steps help break an activity into smaller instructions or stages without creating additional agenda items.
For example:
- Brainstorm ideas
- Silent ideation
- Group discussion
- Dot voting
Use steps when you're describing how an activity runs. If something deserves its own duration and place in the agenda, create a separate activity instead.
Keeping timing aligned
The builder tracks the total duration of your agenda and compares it with the session duration.
If the agenda is shorter than the session, you'll have time remaining.
If the agenda is longer than the session, you'll be prompted to trim activities or extend the session duration.
The builder won't block you from saving, but keeping the two aligned usually results in a better experience.
Reordering items
Activities, breaks, and labels can all be reordered using drag and drop.
This makes it easy to restructure a session as you refine the flow.
Import and export
The agenda can be imported from or exported to a text format.
This is useful when:
- Moving an agenda from a document into Gleo.
- Reviewing an agenda outside the platform.
- Making large edits in a text editor before importing the result.
Tips
Start with activities. Build the main flow first, then add steps where additional guidance is helpful.
Use labels to create structure. They make longer agendas much easier to scan.
Keep an eye on total duration. A well-balanced agenda is usually close to the planned session length.
